Working directly with Client Meeting Planners on a timely basis to coordinate and service conference and convention groups. This includes room blocks, monitoring attrition, catering events, assist with off site events such as golf tournaments, etc., and all other group requirements. This position is also responsible for up selling contracted food and beverage minimums and effectively communicating the client/groups needs to all hotel departments as they relate.
1. Understand the sales plan (by segment, year, and month) and upsell strategy for achieving the established sales booking goal.
2. Upsell the client with themes, décor, menu selection, space planning over and above the contracted food and beverage minimum and to deliver the desired experience and manage planning timeline and deliverables with client for effective operational execution.
3. Build proactive relationship with client, understanding needs and build a comprehensive Group Resume to communicate client needs and expectations across the property.
4. Report progress punctually and proactively with the Director of Catering and Convention Services on planned and actual activity in daily pre shift, 1 on 1 meeting, and daily business review.
5. Follow the steps in the Group Sales Operating Plans to set up a customer, record solicitation activity, and prepare contracts in the CRM.
6. Use Selective Sell Guidelines and rates, dates, space, and menus approved in Daily Business review prior when detailing sales contracts to clients.
7. Elevate any nonstandard or post sale request to the Groups Sales Manager and DOCCS for review and approval.
8. Cultivate sales relationships with contacts identified as realistic sources of business and use sales and marketing entertainment allocated funds effectively.
9. Prepare and distribute accurate and timely Banquet Event orders (BEOs).
10. Lead Pre and post con for applicable groups and visible onsite presence at critical control points in the event timeline.
11. Participate in any Gold Key/PHR or franchise related sales programs including responding to brand generated leads.
12. Actively participate in sales presentations, property tours and customer meetings
13. Professionally represent the hotel in community, at industry organizations and events and while entertaining clients.
14. Lead special projects and other responsibilities as assigned. Participate in task forces and committees as requested.
