The Wedding & Event Service Manager is responsible for managing incoming wedding and wedding related event inquiries and providing event logistics and sales process support to the Director of Weddings. This position will also be working directly with Client and Wedding Planners on a timely basis to coordinate and service wedding and wedding related events as assigned. This position is also responsible for up selling contracted food and beverage minimums and effectively communicating the client needs to all hotel departments as they relate through the development of comprehensive event resumes.
1. Interface with and assist visitors and clients to the sales office as well as via phone and e-mail
2. Manage incoming inquiries for all wedding and wedding related events
3. Responds to all assigned franchise and third party generated leads
4. Obtain pricing and restriction approvals from DOW/ DOCCS prior to extending customized catering sales proposals to client.
5. Ensures all deposits and charges are processed properly and in accordance with PHR Standard Operating Procedures.
6. Create and send letters, proposals, BEO’s, e-mails and contracts to clients
7. Plan, upsell and detail the meeting/function with the client including: space requirements, times, equipment, menus, themes/decorations, etc...
8. Coordinate with the appropriate areas in the hotel, resolve any issues, complaints and problems to ensure quality product delivery and customer satisfaction
9. Understand the sales plan (by segment, year, and month) and upsell strategy for achieving the established sales booking goal.
10. Manage the full turnover process for all new bookings.
11. Extremely organized & is able to handle several projects & tasks simultaneously
12. Administrative duties including faxing, scanning, mail contracts, letters, creating and sending letters, proposals, e-mails and contracts to clients, creating wedding sales kits, as directed by the Director of Weddings.
13. Manage, monitor, process and track departmental expenses within budget in conjunction with the Sales Department
14. Provide event coverage as assigned by Director of Weddings
15. Assist managers on creative projects, such as proposals and special event invitations
16. Participates in all weekly meetings
17. Upsell the client with themes, décor, menu selection, space planning over and above the contracted food and beverage minimum and to deliver the desired experience and manage planning timeline and deliverables with client for effective operational execution.
18. Build proactive relationship with client, understanding needs and build a comprehensive Event Resume to communicate client needs and expectations across the property.
19. Report progress punctually and proactively with the Director of Weddings on planned and actual activity in daily pre shift, 1 on 1 meeting, and daily business review.
20. Follow the steps in the Group Sales Operating Plans to set up a customer, record solicitation activity, and prepare contracts in the CRM.
21. Use Selective Sell Guidelines and rates, dates, space, and menus approved in Daily Business review prior when detailing sales contracts to clients.
22. Elevate any nonstandard or post sale request to the Director of Weddings and DOCCS for review and approval.
23. Cultivate sales relationships with contacts identified as realistic sources of business and use sales and marketing entertainment allocated funds effectively.
24. Prepare and distribute accurate and timely Banquet Event orders (BEOs).
25. Visible onsite presence at critical control points in the event timeline.
26. Actively participate in sales presentations, property tours and customer meetings
27. Professionally represent the hotel in community, at industry organizations and events and while entertaining clients.
28. Handle high profile clients, events and projects as assigned by the Director of Weddings.
29. Lead special projects and other responsibilities as assigned. Participate in task forces and committees as requested.

• Create and deliver proposals, contracts, and Banquet Event Orders (BEOs) while ensuring accuracy and attention to detail.
• Upsell food & beverage offerings, décor, and experiences to elevate each couple’s vision and maximize revenue.
• Build strong client relationships, anticipate needs, and translate them into comprehensive event plans.
• Partner with resort departments to ensure seamless communication and execution across all areas of the event.
• Provide on-site event coverage during critical moments to guarantee guest satisfaction.
• Contribute creativity to special projects, proposals, and event enhancements that make Cavalier Resort weddings stand out.
